Campus Mail Services
Posted by 48416 on August 24, 2022 at 6:01 pmWe are in discussions about centralizing campus mail services.? Does anyone house their mail services in the union and manage them?? Does any one utilize parcel locker systems? Can you share pros and cons for the operations and/or use of locker systems?? Any direct contacts to have conversations with would be greatly appreciated.

Tena, do you mean campus mail for students? Where they would pick up packages, letters from home, and such? Or do you mean office mail?

Mail services is mostly centralized in our student center, although management falls under University Services (auxiliary – they also manage ID cards, food, printing and a few other services).? Last year, parcel lockers were installed and the individual mail boxes were removed.? Students have access to the parcel boxes 24/7 due to an exterior door to this area.? The parcel boxes are a huge hit and some were also installed in one of our housing communities (resident mail for this community goes directly there, not to campus).? Regular mail is kept behind the counter and students come to the counter during business hours to get it.? Mail services also handles campus department mail by sorting it.? I think they deliver to some buildings and some that are close by have to pick it up at the window.??

Hi Tena,?
We have Document Services & Campus Mail within the Illini Union and the assistant director overseeing the operation reports to our senior associate director for retail operations. Campus Mail receives and delivers interdepartmental and affiliated organization mail, library books, and packages (under 10 lbs) across campus. Campus Mail also picks up and meters outgoing letters, library books, and smaller packages and meters them. They process large mailings, for example Admissions packets, Foundation campaign mailings, etc. We also serve as the liaison for the Chicago Shuttle that delivers items to and from UIC every weekday. Campus Mail is also the only place where departments can purchase postage stamps at the non-profit rate (they have a “watermark” and are only for university business). Our Campus Mail service receives a portion of funding from state dollars in addition to the revenue generated for their services, but generally breaks even at the end of the year. Previous to being transitioned to the Illini Union, both Doc Services and Campus Mail were within our Facilities & Services division. Hope that’s helpful! Illini Union Document ServicesIllinois remove preview Illini Union Document Services Campus Mail is a free resource to campus departments and affiliated organizations. We pick up and deliver mail, library books, and packages under ten pounds once a day. We also pick up and meter outgoing letters, library books, and media. These metered items are delivered to the U.S. View this on Illinois > ——————————

Penn State has 15,000 students living on campus in five housing areas. Each housing area has a Commons Area that includes dining services, food courts, a convenience store, offices, study lounges, meeting rooms, etc. They also include individual mailboxes (one per room or suite, not per student). These are your classic post-office-style combination mailboxes. Anything too large to fit in these mailboxes can be picked up at the Commons Desk.?
For our 1,200 registered student organizations, their org mail is delivered to our student union building. They can pick up their mail or packages from our Information Desk.?
I should also note that Penn State has its own zip code separate from the town. We also have our own US Postal Service Office located directly next door to our student union building. However, their services are primarily used for outgoing personal mail and other postal services that we can’t offer. All of our incoming mail is processed by our University’s mailing services. They also process all official outgoing mail.
