Here in the Kent State Student Center, we have two cases of uplights we use by client requests for events. Each case contains 8 lights. As of right now, there is no additional charge to use them, but I wanted to see if other AV departments are doing anything similar. A department recently asked about renting them for an event outside of our building, which we’ve never done before. If you’re using uplights for events, do you have an additional charge, or are they included in the standard room rental? If they can be rented outside of your building, what do you charge? Do you charge for labor/transportation as well? Thank you!

For student groups in our 2 buildings they are free however they have to pay for an AV Tech to set/strike them which is $15/hr with a 2 hour min. ?For departments they are $10/ea plus the AV Tech @ $30/hr. ?I can’t remember what we charge for non affiliated groups. ?If events are outside of our building everyone pays for equipment and labor. ?Sorry, I don’t remember that charge but I know it’s more than what someone could rent them from an outside company.?

Jake,
We have been using Freedom Par uplights for several years. The lights are stored and charged in the case that holds 9 fixtures, are RGB or RGBW, and have built-in D-Fi (wireless DMX). They are quite popular and I know they’ve increased in price quite a bit in the last couple of years. We charge all groups a fee to rent the lights on a per-fixture basis. We have allowed departments to take lights off campus, but I’m not sure about student orgs. We do not rent lights or other AV equipment to off-campus groups for use outside of the Commons (union).

Hi,
Our uplights are $21 each for external clients, with Registered Student Organizations (RSOs) and University departments receiving a 75% discount off this rate. There are additional charges assessed if we need to set them up to be DMX or WDMX controlled or placed on truss.
We do allow equipment rentals outside our building through our equipment loan & equipment checkout programs for RSOs & departments. For equipment loans, groups are charged a delivery fee based on the quantity & type of items requested for us to transport the items, and the discounting is reduced to 50%. This service is only available on our main campus. For equipment checkouts, groups are assessed a $10 checkout fee, discounting is reduced to 50%, and clients are responsible for their own transportation & setup of items that are picked up from our office during business hours. As clients are responsible for the pickup and drop off of items, items can be taken off campus. The catalog of items available for checkout is very limited, especially for AV equipment. For both programs, items are charged for every 24 hours they are out.?

We have LED pars and LED batten lights.? The pars are $11 per fixture for student orgs, $18 for departments, and $28 for university guests.? The battens are $14/$23/$35.? Then we have recommendations of how many lights to use depending on which event space is booked.? Clients also pay for AV Tech labor for setup/strike.? We don’t allow any of our equipment to be rented without an accompanying AV Tech, so to rent them out of the building they also have to pay for labor for setup, event time, and strike.? This would also include time for transportation. If we’re out of the building, it’s usually accompanied by a PA or other equipment rental. If we have to use a van or box truck for equipment transport, there is usually a fee of $25-$100 for that depending on vehicle and travel distance.? Let me know if you have any follow up questions!

Hi Jake,?
At our college uprights are included in the room and are part the tech labor charge $45 an hour for non student groups an $30 an hour for student groups. Uplights are rarely requested but I encourage the student techs to make the room as welcoming and exciting as possible with what is available, often recommending the well lights on pillars or on the back curtain. The lights only get setup outside our buildings for the purpose of special events, usually events sponsored by our department, or big college weekends ie homecoming, commencement, winter carnival, etc. The uplights are not rentable and cannot be requested to be used outside of the student center buildings.?
