Here at Ohio State University (Columbus Campus) our setup for staffing is as follows:
(1) Senior Audiovisual Coordinator (Me) – I report to the Director of the Ohio Union and Student Activities
(2) Audiovisual Coordinators (professional staff) – Report to Senior Audiovisual Coordinator
(1) Audiovisual Production Tech (professional staff Part Time) – Report to Senior Audiovisual Coordinator
(10) Student Manager/Event Leads – Report to Audiovisual Coordinator
(40) Student Technician/Event Technician – Report to Audiovisual Coordinator
Our student techs are responsible for most of the basic conference room setups and strikes and client interactions. Our student managers help set more complex setups and run the student crew day to day. The two coordinators do the hiring and training and supervision of the student staff. While setting the complex equipment and helping on events. They are split, one for our rooms in the Ohio Union (~30) and one for the event spaces in our residents’ halls (~30). These two areas are on opposite ends of the campus. I’m responsible for the overall program, including installs, troubleshooting the systems themselves, av adjacent technology used in our facility, radios, exterior digital signs, building wide music and cable tv and working higher level events. I also do our in house rigging and review rigging plans for outside production companies when they come through.
The Production Tech position is one we have just filled. This professional staff member is assigned larger productions to be the lead and help oversee the student staff assigned to the event. With the difficulty in hiring students post covid, we have used labor support from a local production company but that comes at a very high cost. We hope that this part-time (30 hrs/wk) position will lower that need while also helping reenforce equipment training during events for the student staff.

At UNC Charlotte, we have me the Assistant Director of Technical Services & Audio Visual (pro staff), then it’s my Audio Visual Coordinator (pro staff), then it’s Audio Visual Technician Lead (student), and Audio Visual Technician (students). I report to the Associate Director of Operations and they report to the Director for the Union & University Center. I oversee both buildings as well as outdoor spaces (other than athletic). We try to staff 20 students each year but lately it has been a struggle so it’s been closer to 10 students. Our students set & run majority of the events. The Lead also does some of the scheduling and weekly meetings. The Coordinator does the training of the students and helps set events up as needed. I’m responsible for the overall program, including installs, troubleshooting the systems themselves, and working higher level events as well as reviewing contracts and riders.
