Student Orgs and Office Spaces – Outdated Practice?
Posted by Alli Morris on February 28, 2024 at 3:38 pmHello! I’m from the University Memorial Center, aka CU Boulder’s student union. Since our union opened, we have offered private and shared office spaces to all officially registered student organizations on a first-come-first-served basis but this practice seems to be outdated, and, we’ve noticed that usage of student org offices has diminished over the past few years. So, we’re looking at revisiting how to offer space to student orgs.
My questions are: What is the trend with regards to student org office space at other student unions? Do you offer office space, storage space or neither? What options do you provide to student orgs who need a place to plan, meet, and do club business? Thank you for your time!

We offer storage lockers about 2×3 feet each with a built-in combination lock and a master key that we have to override the combination. We do not offer office space, or much in the way of office-type resources, and this hasn’t been an issue since we renovated 6 years ago.
We are looking to offer some spaces exclusive to student organizations in a direct book style that would fit around 6 to 8 students and have access to a TV. We want to balance this however, because we do not want to these spaces to be used for studying but exclusively for organization meetings.

At the University of Michigan during the recent renovation of the Michigan Union, we moved from about 60 small private student org offices hidden on the 4th floor to the IdeaHub, now located prominently on the 2nd floor. We designed this space in response to student feedback for a more equitable model. Rather than a few (of our 1500 student orgs) that would get offices through an application process, now all student orgs have access to shared co-working space that offers flexible meeting options. This includes drop in space, meeting rooms, movement studios, and peer student advisers to help students with their involvement needs. (Student orgs continue to have access to all meeting and event spaces in the Union.)We also found that student orgs were using their offices for storage so we identified storage space in the basement and installed storage cages in addition to smaller storage spaces available in our other union buildings. You can learn more here:Susan L. Hi Alli,
At UC San Diego we noticed this trend about 5+ years ago.? We took all of our student org office spaces (approx. 20) and converted them to shared storage spaces. Most of the spaces are approx. 10’x10′ and we placed 3-4 shelving racks in each space.? A student org is allocated 1-2 shelving racks.? It is shared storage and we can accommodate approx. 60 student orgs each year with the opportunity to utilize these spaces.? They fill up every year and are extremely popular.
As for office space we took 3 of the larger shared offices and made them daily reservable spaces for our approved student organizations.? Each room has conference table instead of work stations so the student org could have a small meeting or use as a workstation if needed.
All the best,
