    Good afternoon, we are looking for a software platform that would help us mange our clubs and organizations. We need something that a club leader and advisor can easily update and utilize as a space to store member rosters, update leadership, house charters, and much more. If you are utilizing a similar product, we’d love to hear from you.?
    We are particularly interested in:?
    1. What software are you using??
    2. How does it help you manage clubs and orgs.??
    3. After using the software, is it missing things you wish it had??
    4. Do other campus partners utilize the data? If so, how do they utilize it?

    Hi Whitney – At Temple University, we use Engage. I have been very happy with their client support:

    1. Anthology Engage
    2. It allows registrations, document management, rosters, elections, finance (general ledger, funding & purchase requests), and event promotion among others.
    3. I’m not a huge fan of how the general ledger/accounting system is setup but it works.?
    4. We report out how much each group has spend to a committee that reviews student fees but I’m not aware of others that use the data too much.?

    Hi Whitney,

    I am at UNC Pembroke, a small public institution located in North Carolina.

    1. We currently use the Engage platform, however, we just signed a contract with Presence and will roll it out next fall.
    2. There are quite a few things that both platforms have in similarity: registration/re-registration management, rosters management, elections, finance, event promotions, news features, event registration and promotion, and more.
    3. There are lots of features in Engage that we aren’t able to afford (like connection to EMS, budget, and more), and those items are all-inclusive with Presence. Additionally, I use our platform to run lots of data for different departments that host events and collect attendance. I am able to run demographic reports based on information that is in our banner system – they connect. With Engage, a department has to request a report and I have to download it for the department, which only administrators of the platform can do. Downloaded reports come out as an excel document, and data has to be synthesized by hand unless you pay for another system that does the work for you. With Presence every group has a visual representation of the data on the management side of their profile and can filter certain data points to get more detailed information. Also, Presence, much like Engage, has its own version of pathways that can be built to get students started on different learning paths. Additionally, Presence has a skills feature which I will be working with our Career Center to build out so that students are connecting skills to curricular and co-curricular opportunities to start building their portfolio and resumes.?
    4. Our campus partners use the data to track information for specific demographics so that they can identify gaps in the types of students who are or are not participating in their programs. Recently, the UNC System changed its funding model and we will be using involvement and engagement as an indicator for retention and matriculation. Additionally, I work closely with other programs on campus, like our Business School Passport Program and our Center for Student Success – which tracks progress for a created curriculum for students on academic probation – to help them manage tracking students navigating their programs.

    Hi Whitney,

    We also use Engage (Campus Labs/Anthology), and agree with everthing Filip and Darien have said! It has strengths — mostly that it is so all encompassing, but you do pay a lot for that! Our primary use cases are tracking memberships and internal communications with club executives for budgets, elections, and event submissions.

    We have found the tools that our club executives have access to be pretty limited, particularly in how they can communicate with the students in their club.?

    I would love to hear how the roll-out of Presence at UNC Pembroke goes!

    We share very little of the data with campus partners, mostly just aggregate membership info.

    hello Whitney (and all),

    SUNY Oneonta has used Engage since 2007 before it was called that. It was CollegiateLink back then. I joke that we were school #7 but, honestly, i dont know which one exactly but an early adopter. The finance piece was actually built for us (for good and bad). I am glad to speak with anyone about our experiences. It truly is embedded into our campus culture at this point.?

    Hey Whitney,?
    Our campus has used Engage and Presence in the past and currently use CampusGroups. I would be happy to talk with you about why we made the switch offline but CampusGroups has been night an day better compared to the other platforms we have used. It is a simple platform to learn and has a lot of functionality in managing organizations and also providing updates to organization on anything that might be coming up. It has an e-mail builder within the system so you can contact all of the officers and members of organizations from your admin side of things, it runs analytics so you can see how often people are using your platform and it also has an app.?

    That being said it is built like an a la carte style model where you buy what you want in the platform. If there is anything we don’t have in the platform it is probably something we have the option to buy but don’t have the funding to purchase it at this time. We are in our first semester of using it but my plan is to role it out to other campus partners to use and we are getting people asking about it already because of the positive buzz about the platform.?

    I know I’m a bit behind the curve, but CU Boulder has utilized Engage and more recently Presence.? We are in the process of investigating other options, so I would like to hear from folks if they are aware of any other solutions that haven’t been mentioned in this thread.? The main hangup always seems to be the finance portion of these organization management tools that are an afterthought/coded in a very inflexible way or don’t meet compliance needs.
