Incentivizing Early Morning and Late Evening Shifts?
Posted by jessekoch on March 30, 2023 at 9:54 amHi Everyone!
In recent years, we’ve struggled to get student staff to fill our less desirable shifts. The main shifts in question are our Friday/Saturday late night shifts and our Saturday/Sunday early morning shifts.?
Currently, we offer a $1/hr bonus for any shift that starts prior to 9am on weekends, and all shifts that end at midnight or later regardless of day of the week.?
We have a few ideas on how we can address the issue, but I’m hoping to get some wisdom from this community! What you all do to get those difficult shifts filled? Do you offer a financial incentive (if so, how much)? Do you assign by seniority? I’m open to any suggestions and best practices!

Hi Jesse,?
We did the following for our building managers in my previous position but we were closed on weekends so events were only scheduled sporadically on the weekend not every weekend:?
- All weekend shifts and late-night shifts were paid at time and a half?
- At the beginning of every semester, students signed up for weekends, if an event was scheduled on their weekend they would have to come in and work it or get it covered. If there wasn’t an event scheduled they were free that weekend.?
I think the combination of these two things helped me ensure all our late-night or weekend shifts were covered while still allowing everyone to feel like they had plenty of notice to plan their life accordingly. Hope this helps!?

At SUNY Oneonta we have HUb Associates and Building Managers who work during our hours of operation – Monday – Saturday. We are closed on Sunday’s.
We close at 11pm – some times events run later on Friday and Saturday, late closes could be 12-12:30 am. We provide them with these dates ahead of time.
Students are provided with this information when the apply for positions.
Building managers are paid a higher wage than our HUb Associates.
Student employee work hours are done by seniority. We have rotating shifts on Friday and Saturday evenings until close so no one is working every weekend.
If there is a conflict, they work together to make changes. Shift trades are recommended for their normal shifts (usually 7-8 hours per week), but must trade rotating shifts so no one person is working many rotating shifts.
Typically each student works 2 Friday and 2 Saturday rotating shifts per semester.

Hi Jesse,?
Here at Rutgers-Camden, we use WhentoWork for scheduling.? I have our students paint their availability in the summer and then again in late fall.? I create the schedule based on number of hours per week they are looking for and then that schedule is the same schedule for the entire semester.? We open at 7am, so staff come in at 6:50am and we close at 11pm, so staff stay until 11:30pm.? If there are events or flips for events in the morning, I extend their hours and they stay to get it done.? Most times, this is not later than 12:30am.? I will also add on an extra shift for staff to pick up to help get the work done quicker, so they do not have to be here later.? We do not pay any more $$ for any shifts and for the most part, we typically do not have any issue getting all shifts covered.? If we do, we do the same that others have mentioned where we do a rotation; this would happen usually for a Friday or Saturday night shift.? I also make sure that when people come to information sessions, the required hours are mentioned and also include it in their contract.? Hope this helps!

Hello!?
We pay our students $0.60 extra per hour starting at 6 pm until 6 am, every day.? Our students are informed of early, late and weekend shifts when they are hired and we make sure they all understand this.? We are open M-F 8 am-9 pm, Saturday 8 am-5 pm, and closed Sundays. Each week we make the schedule according to the events and try to make sure that no student is closing late or opening early more than 2 times per week.? We usually get some students that like morning shifts and ones that like evening shifts, so it usually works out.? Weekends are rotated so staff are not working 2 weekends in a row, but if they do, we give them 2 weekends off. We also have 3 student managers who cover shifts when the full time staff are not present. They get paid more so they usually don?t mind working more.??——————————

Hi there,
This was a concern for us a few years ago but have since established a weekend late night rotating model. We rotate the full team so that no one is getting a standard late shift. At the start of the semester, we establish who is scheduled for each weekend shift. The students work amongst themselves to trade if necessary but the expectation is they are doing at least 1-2 closings per shift. Toward the end of the spring we bring on our new team and they use the closings on the weekends as a training opportunity so they do it in teams which frees up some dates.
Hope this is helpful.

Hi Jesse,?
I have a weekend rotation model that students are made aware of during the interview process.? Friday close (7pm-11pm), Saturday (7:30am-1pm, 1pm-6pm, 6pm-11pm) and Sunday (1pm-6pm, and 6pm-11pm) all rotate through the entire staff for the entire semester.? They are allowed to switch or find coverage as needed, and for the most part this works well for both Building Managers and Info Desk Attendants. There are no additional funds to offer, so we do our best to assign the less desirable shifts as fairly as possible across the team.?
