    Hello!

    Does anyone have a training session they do that focuses on the proper way to write Building Manager reports?? Right now my staff write one word responses and I need more substance.? Figured I’d ask here and see if anyone had anything they would be willing to share before I started from scratch!

    Good morning,

    Here at the Union at The University of New Mexico, we have a clear expectation on what should be on the shift reports. I have found it beneficial to show some examples of what is acceptable and helpful for the organization. I do have to give reminders throughout the semester. What I found do be the cause of short shift reports is that students feel rushed at the end of their shift to get out. I found it helpful for them to fill the report out as their days go on or a specific incident has taken place. This allows them to be more accurate and not leave out any detail. I also found helpful to explain the importance of the shift report and all of these combined have drastically improved the quality and detail of our shift reports.

    Good morning,?

    I agree with everything that Dennis has mentioned. Here at the University of North Florida we use 7 Point Ops so all of our logs/reports are completed through there and at the start of each semester at one of our BM meetings we go through the log as a team to make any updates, edits, or answer any questions they may have. Of course, we also adjust throughout the semester as needed and based off of any new or unique things that may come up. Something that I have found helpful is pulling examples from our Lead BM to help show other peers work and let that Lead BM speak to how they manage inputting the information?throughout their shift. In addition, any time there is an opportunity to connect to the reason why we ask this of these students, I try to do so at our biweekly meetings. If there was a challenge our students had to face and the report well documents the student experience or the role they played in the challenge and I was able to use that information to either solve a problem or confirm additional charges that needed to be implement, etc. I make sure to cover that at the next meeting with team (even sometimes with students not responsible for these reports so they also understand the importance this plays to help the BMs as well). I personally have learned from my students sharing those details has helped them understand the “why” which then has helped motivate them to complete their reports in a detailed manner. Lastly, I also in the log try and specify some of the things I need. Example: Event Updates (client greetings, spaces setup/breakdown, late arrivals, no shows, etc; Include Res#s)
