I figured we can share some of the items on our to-do lists/post-it notes/notebooks/calendars that we are all working on in hopes to help each other through them.? Not only by motivating each other, but perhaps you are also working on something from my post-it note pile and we can either work on it together, help each other because we just finished the process, or find out we have similar likes/passions and can present on it or write about it in the future!??

To Chrissie’s point about looking back on her notes from 8 years ago, I just launched an event satisfaction survey last week that I’ve been dreaming up for about 3-4 years. Finally all resources and philosophies aligned so I could check that item off my list.?

Ha I feel you Chrissie! With a short J-term and training for two student teams, I feel like I didn’t get as much on my to-do list done over break. I feel a bit more okay with that this year though…balance!
On my to-do list:
- Continue mapping out long term vision for integrating and creating efficiencies across the Building Manager & Information Desk Team (recently took over the Info Desk team!)
- Recognized Student Org Advisor training
- Cleanup calendar – recurring meetings
- Wrap up student shadow shifts
- Buy a new phone clip case for the Building Manager phone – if anyone has any recommendations for a good clip case let me know… ours gets heavily used so it keeps breaking 1-2X a year XD

How does your student shadowing shifts operate? Does everyone shadow? Do they fill out a form? How long do they shadow?? We do this too, so would love to hear how you manage it.??

Right now my map looks like a jumbo sticky note pad with areas of focus for this year. Since the roles are unique, but share some tasks I want to make sure we are being efficient across those roles. I’m also trying to invite students to think about their roles more around supporting the environment and ethos of the student union, rather than just thinking of one off tasks to be completed. I think the role used to be a bit more of that, but strayed more towards task completion over the years, especially as we helped other areas more during COVID.
I actually have a very specific shadow shift format. Specifically because when I was a Building Manager the person training me said “oh you didn’t bring a book?” and expected me to teach myself the role… LOL! I did, BUT then came up with this solution that I have honed throughout the years. It is a checklist that breaks down each task the Building Manager will regularly need to know how to do. First, new Building Managers watch a returner Building Manager do the task, the returner then watches the new Building Manager, and lastly the senior Building Manager with a training project specialty or I can check off that the new Building Manager fully knows how to do the task(s)! I’ve attached the document in case anyone is interested in taking a look!

I know one of the things that I have learned is that my two different areas of Info Desk and Building Managers do not need the same amount of training.? For the past few years, I have had new staff come in before returning staff, but then all returning staff is back at the same time.? I was often finding that I was trying very hard to fill the gaps of stuff/info for my Info Desk, and my Building Managers didn’t have enough time to perfect the tasks.? This upcoming summer, I’m changing my model to have my Building Manager team come in for 2-3 days of training and then have my Info Desk for just one day.? This will help me get them trained and mastered in what they need.?
Thank you for sharing the Shadow List!? How the heck do you keep on top of that?? That’s my biggest issue, the follow-through and making sure that I can sign off on everything.? It’s just me and a Graduate Program Coordinator.? I’ve attached the shadow document that we use…seems like the same idea you had, just a diffrent format.

Hi Chrissie
As I’m rebuilding some of our student employee experience, one thing I’m focusing on is the shadowing for training. I am thinking about google forms with a spreadsheet that is view only to the students who lead the shadowing. That way, I can go back and see who has done what and how their leader feels about their ability after shadow shifts. I’m also building a self evaluation for the end of the shadow shift period, also a google form, to then sit and go through in a one on one with the new staff member. That would be a longer one on one, allow us time to go physically test out some things they might be less comfortable with, and sign off (or not) on their ability to solo on shifts.——————————

I am thinking about google forms with a spreadsheet that is view only to the students who lead the shadowing. That way, I can go back and see who has done what and how their leader feels about their ability after shadow shifts. I’m also building a self evaluation for the end of the shadow shift period, also a google form, to then sit and go through in a one on one with the new staff member. Hi Matt!! I actually had gotten the idea from my awesome colleagues at West Chester University….nothing better than borrowing from the best!? My plan is to host this lock-in during National Student Employment Week in April and have my staff stay in the building after we close…so start at 11pm and go until about 1am.? I would not make it mandatory for them to sleep over, but if they want to, then we would make it happen!? During this time, I would host different activities (again, all ideas from West Chester), like minute-to-win-it type things, have pizza and ice cream sundaes.? If possible, I’m going to try and work a nerf fight into the mix!? It’s something that the past 5 years of student staff have been asking for, but I just haven’t been able to figure it out/am nervous to do it lol.? I think that we can make it happen though…we would provide each with a nerf gun so we can avoid anyone bringing their own super dooper ones, we would require and provide eye protection, and then have them have fun in one of our open spaces.? If there’s enough budget, we may even get some inflatable obstacles to have them be able to hide behind.? My last idea would be to see if our Athletics/Rec department has any mats that we can use in case the staff like to dive behind an obstacle.??
It’s definitely in the thinking stage so far!? Any other ideas are more than welcome!

Hi Everybody. So, 30 days farther into the spring semester (from when the original question was posted), here is what is (still, in some cases) on my to do list.
- Assess our current practices and procedures for how we use the campus job board (Handshake) for recruiting
- Review all position descriptions, possibly developing shortened versions for Handshake
- Adding at least one requirement for uploading something in addition to a resume (students aren’t even reading the job descriptions; just uploading a resume and clicking submit)
- Updating our student employment program yearly timeline
- Creating a student employment program standard operating procedures Google folder (have to continue to push myself to think beyond the traditional manual, LOL)
- Creating evaluation rubrics for interview questions for Building Manager, Area Manager and Student Employment Program Assistant interviews
- Revamp our student team member performance evaluation process, including a plan for periodic check -ins and a formal evaluation once annually (this process hasn’t happened in several years, and we’re planning to simplify considerably.)
- Planning for National Student Employee Appreciation Week

Subject: Annnnnnnddddd we’re Back!!!Hi Everybody. So, 30 days farther into the spring semester (from when the original question was posted), here is what is (still, in some cases) on my to do list.
- Assess our current practices and procedures for how we use the campus job board (Handshake) for recruiting
- Review all position descriptions, possibly developing shortened versions for Handshake
- Adding at least one requirement for uploading something in addition to a resume (students aren’t even reading the job descriptions; just uploading a resume and clicking submit)
- Updating our student employment program yearly timeline
- Creating a student employment program standard operating procedures Google folder (have to continue to push myself to think beyond the traditional manual, LOL)
- Creating evaluation rubrics for interview questions for Building Manager, Area Manager and Student Employment Program Assistant interviews
- Revamp our student team member performance evaluation process, including a plan for periodic check -ins and a formal evaluation once annually (this process hasn’t happened in several years, and we’re planning to simplify considerably.)
- Planning for National Student Employee Appreciation Week
- Planning for our first ever significant summer promotion for Campus Center jobs (we have all our new marketing materials; will be offering team members opportunities to be reps at our info table during all summer orientation sessions
- Reaching out to faculty in the Tourism, Event and Conference Manager program to try to establish a purposeful relationship that will bring more TESM students to our Event Services Assistant position
- Training new Area Managers regarding Humanity (our web-based scheduling platform), the hiring process, and corrective action procedures
Phew, my student assistant and I are quite busy. Luckily (knowing on wood) we are done interviewing and onboarding for the moment.

Subject: Annnnnnnddddd we’re Back!!!Many of use are about a week into the spring semester, and I’m sure our to-do lists are already pages long!!! I figured we can share some of the items on our to-do lists/post-it notes/notebooks/calendars that we are all working on in hopes to help each other through them. Not only by motivating each other, but perhaps you are also working on something from my post-it note pile and we can either work on it together, help each other because we just finished the process, or find out we have similar likes/passions and can present on it or write about it in the future!
Here’s things on my list:
- Getting an office Canva log-in
- Student Employee Recognition Week
- Fall Training
- Student Employee Lock-In/Nerf Fight
- Creating artwork/decorating the union to show beloved community
- Add a land acknowledgment to entryway
- Inventory systems
