    Hi!

    I am working on putting together some resources around project management tools or other tech tools you use to make your work easier.? This could be how you manage and organize projects and programs, how you communicate across departments, how you organize your emails and or files.? Are you using technology in a cool way and it is helping you manage your work more effective–please share.

    I am looing for tools, ideas and your personal tricks of the trade; this will help with a educational session in the upcoming IPDS: New Professionals Institute scheduled for mid-July.

    Hi Teresa,

    We are a Google based department so many of our files are in the team drive. We’ve been using Slack for the past year and absolutely love it! It’s super easy to communicate and it can sync with the Google drive and my Microsoft calendar. I have workflows set up in different channels to make some things easier. I just purchased Microsoft Project and am still learning it but a couple of folks are still utilizing Trello.?

    Hi Teresa!

    We are a Microsoft campus, so we use a team drive via folders and Sharepoint, but then also Microsoft Teams quite a bit.?

    Tricks:

    • I feel like having all the windows I use in a day open on startup, rather than having to open them each day, saves at least some of my mental capacity
    • Teams can get overwhelming for folx with the back-and-forth, so one thing we use a lot around here is taking the sharepoint link and including it in the browser’s open on startup links
      • Files can also be stored in Microsoft Teams – but we typically store them on our network T-drive.?
      • When we switched to Teams our tech dept told us that for bigger teams we would have to create new versions of the team each year. We haven’t seen that come to fruition yet, but I think that’s why we don’t currently use Teams for everything like we could.
        • I’m curious if anyone else who is using Teams has heard of this or knows if it has been addressed by Microsoft?
    • If my task load starts getting significant, I transfer my to-do list into Tasks by Planner in Microsoft Teams. Then I can assign the task to myself. Tasks will then send me a reminder email if I haven’t completed the task by the due date. (I used this more when I was an event planner, but also helpful in my current role in busier seasons like August).
    • When working out of my email, I try to get everything out of my inbox as soon as I can (without being too hasty). I feel that if I keep something in my inbox too long, I just end up re-reading it multiple times. Having a large inbox, even if I’ve read it before can get mentally taxing down the road, wondering to myself ‘have I addressed this?’
    • Mazevo has been an awesome add for us!
      • Allowing us to use mobile devices to check on event details
      • They have recently increased the Operations feature, which allows event task assignments for various staffs across the union. I’m looking into this more for this year
      • We have different statuses to track whose “bucket” the reservation is in (production review or tentative for customer/reservations)
