    Hello All,

    I am the Operations & Information Desk Supervisor for UNT’s University Union, and I’d like to touch base with anyone who manages their institutions lost and found. I’m currently in the process of updating our organizational system to make it easier for my student-employees to store and archive lost items. Also, the items that are “archived” per our university policy are being stored for a potential monthly and semester store to recycle items back into campus. I would love some feedback on materials that can be used to make it easier to transfer items from our secure location to the potential “store” site.

    If anyone would be willing to offer some suggestions or expertise, that would be greatly appreciated.?

    Hello,?

    I am from Texas A&M University – Corpus Christi, and we use the Chargeback system to keep track and report lost items. We hold onto found items for a minimum of 90 days, and after that time it is available to go into our lost and found sale that we hold once in the fall and once in the spring semester at least half or less than the retail price of items depending on condition. We use the money made to go back into events for students.??

      Hello Michael,

      Thank you for providing some insight into your process! I was wondering what the best baseline for pricing the items would be. I think that we may be possibly implementing a monthly store for low- to medium-value items and then sell the high-value items during a “Mega” Sale for students.

      Once I take a full inventory of archived items, I can establish retail pricing for everything.

    Hi JC,

    I’ve used Chargeback?at a previous institution. We loved it because it was a free platform for us to use. Not sure if that is still the case for universities now.The end-user, if item needed to be mailed, was responsible for payment if shipping was needed. Shipping was handled through the Chargerback system. Super easy to use. The only things you need to do, like Michaela said, where items are stored, length of time to store, policies to purge/dispose of, and who gets access to viewing, reports, etc.

    Storage: I suggest a lockable room or cabinet, for security. This helps you keep the chain of custody cleaner.?Time & policies: How long you store and what to do with items after the date to purge. I would find out if your state has a law about keeping and releasing lost items.?Access: Who gets “viewing rights” to manage returns/accepted items within the system.

    Last piece of advice is to get your Police/campus Security on board with your system. Happy to discuss, if you have questions. Email me at carltobh@jmu.edu

      Hi Barb,

      Thank you for providing that link to Chargerback – in Texas we have to check a list of approved software that went through a certification process to ensure data privacy protection. Our building utilizes Clover for purchases, and I think the route we’re going is for in-person transactions and formatting the sales process like a “store” once a month for low- and medium-value items and a “Mega” Sale for aforementioned items and high-value items (i.e. laptops, headphones, jewelry, etc.).?

      Our Storage is a locked room that only authorized individuals have access to along with safes for sensitive and high-value items that need to be kept under lock and key. Because this whole process will be the first of its kind for UNT, we have quite a few items that were archived after the 30-day lost item policy that UNT has.?

      I was thinking about having a “catalog” with photos of the high-value items to ensure security and have the purchaser take the photo to the Information Desk for pick up after making the purchase.

      I appreciate your insight and advice; this perspective helps to keep a few items at the forefront of the planning. Luckily, our Union has a close relationship with our campus Police department, and they are included in the lost item policy that UNT possesses (UNT Policy 12.002)
