    Hi Friends,

    I am trying to find a more effective way to track when my staff conducts rounds in our student center as well as facilitate our game room check-in and check-out processes. Do you know of any apps that would fit my two criteria??

    Hi Joe,
    Our Building Manager team uses Microsoft Teams OneNote to track building rounds. We have it sectioned out by date and time, with bullet points under each hour. It helps me track what they’ve been up to over the hour and if they have any questions. We utilize EMS/Mazevo, so setup notes go there, but if there are other tasks I need done at a certain hour, it’s nice to put those in the OneNote log as well. Another handy feature of doing it this way is that I can check in via the OneNote app and Building Managers can write notes via the phone app while out on a round too.

    It’s also been a great community builder for my team, especially as Building Managers are rarely on shift at the same time.

    Hey Joe,

    Both in our University Student Union and in our Student Recreation Center we utilize Connect2. Like Deanna, we use Mazevo for our event reservations, so any notes about reservations and event spaces go there, but everything else goes into Connect2.?

    Connect2 has an iPad app, but it is also web based, so it can be checked from any computer or smart phone. I believe our Student Recreation Center uses the iPad app, but I found that my staff in the University Student Union are more comfortable using the mobile website on a smartphone. So we got a work phone for our Building Managers that get’s passed from one shift to the next. This allows them to log into Connect2 on the go without having to use their personal devices.

    I’ve attached a screenshot of a user’s Connect2 home page. You can see that it has functions for counts, but it also has accident and incident reports which can be built and customized for your organization. It also has standard operating procedures as well as emergency operating procedures so our staff can easily references those on shift whether they are walking the facility, or if they’re sitting at a computer. The systems memo board is also useful because I can post a message to specific staffs, or all users and when individuals log into their account, they’ll see a notification dot next to memos and it will stay there until they read all of their memos, then on the back end I can see who has or has not read any memo. Within the forms section we have shift reports that are customized for each of our student positions and what’s really great about that is the staff can “save for later” so they can start and update their reports throughout their shifts and then just finalize it before submitting at the end of their shifts. And on the back end, when setting up the the individual reports, I have the option to set them up so once the staff submit their report, it is emailed to specific individuals, so I never have to go hunting for shift reports, they’re already in my inbox.

    Those are the main things I have used it for with my staff. Specifically with counts, I can create and adjust the list of different lounges and rooms and assign them to specific buildings in the counts section of Connect. This makes it easy for the staff to find the locations they’re counting at the time. Then the staff just taps a plus or minus button to adjust the count number to match the amount of people in the space. I can even “close” certain areas, like the 2nd floor of one of our buildings is closed for refurbishment, so instead of deleting it’s spaces out of the counts form, I was able to just “close” it within the counts function. On the back end of Connect2 there is a little bit of a learning curve, but one you spend some time with it, or connect with their helpful staff, it is easy to do all of the set up and has a lot of functionality for exporting counts and other reports.

        I’m sorry it took me over a week to respond.

        I do not know a lot about the different price structers, but I do know that it depends on the amount of users you can have and as well as the amount of “facilities/teams” you use. We use different “facilities/teams” for our Building Manager, AV Techs, Set Up Team, and Information Desk, but we might have the option to use Connect2 for cheaper is we grouped some of those together.

        If you want specifics you should reach out to Jenn Jacobs (jjacobs@connect2concepts.com), she is one of the co-founders of the company and the one that I work the closest with when I have questions or issues.
