Here at the Rayburn Student Center at TAMUC we have a multistep approval process for student org events. It begins with my office, reserving space. Then our safety office reviews to ensure risk is low, then UPD reviews and determines if security is required. If security is required based on context or crowd size, UPD adds appropriate resources to the reservation. Then our student engagement area or advisor sign off acknowledging they are aware of event. We utilize a process form called laserfish that routes the form to different offices for approval. We have been utilizing the form for 1 year and it has reduced workflow and increased approvals of events.

I was wondering if your campus have any policies, protocols, or language in your reservation policies requiring university police at student organization events. If so, do you take into consideration attendance thresholds or the type of event being hosted? We are trying to standardize when UPD is and isn’t needed at events to help student organizations plan.
