Support/Set Ups Team Work Order Process

    Hello!

I’m helping the team that handles room set ups and office moves think through some possible ways to better receive and track requests. Particularly for office moves, they receive information online from a University website form. Select team members receive the request via email and then put the work order into EMS. Our university website form backend doesn’t assign unique numbers or anything to submissions which makes tracking them difficult. Our Facilities uses SchoolDude so we are also looking to see if that is a route but wanted to see what others are doing as well.?

Our Physical Plant & Set Up teams only take requests related to events through EMS.? The use EMaint and office moves or other non-event related requests go through that web service.? An Option to utilize EMS would be to create a “room” that is an “override description” type that allows them to type in the name of a space not in your EMS inventory.? Then create a request process template that is “service only request” mode.? We have a “Building” that only contains override description rooms that customers can request through the web app.? You can get really granular and create a separate resource? category and restrict it to that “building”.? The only issue we’ve had is the override description rooms can’t coexist on the same request process templates as standard rooms.
