We have the following excerpt attached to ALL of our reservation confirmations:
A 30-day cancellation notice is required for large meeting rooms (Legacy, Alumni, Laird). A $50 fee will be
charged to groups for less than a 30-day cancellation notice.
DUC Legacy Room, Room 211, 223, 374 & 378 contain self-serve projection (laptop not included). All other rooms in the
University Centers DO NOT have self-serve projectors. Personal projectors can be brought in and used. If you want a
projector provided or want to use the projector in the Laird, Alumni or Theater, UC Event Technical Services MUST be
hired. Event Technical Services requires seven days’ notice to schedule staff. If you do not see a technician listed on
your confirmation, assistance will not be available. A request for audio-visual equipment and staff should be requested
online.
If special equipment is needed for the event, please contact the Campus Reservations Office as soon as possible.
Equipment not reserved is subject to availability and may not be available. Because of limited staffing, requests made on
the day of the event may not be accommodated and would incur late fees.
It is the primary responsibility of the sponsoring organization to monitor the event, including actions of members and
guests in attendance.
The sponsoring organization will be financially responsible for any charges assessed for event equipment and support as
well as any damages or excessive cleanup after an event. Any charges not paid for by the sponsoring organization or
approved by the account manager will be the responsibility of the individual who requested the space payable by cash,
check, credit card, or student account billing.
Please email or call Campus Reservations if you need to cancel this reservation for any reason. Failure to notify us of an
event cancellation can result in all reservation privileges for the Centers being revoked for your organization/department
for the semester.

Hello Facility Ops Professionals;
I am looking for examples of building policies regarding common-use areas in a building.
Space outside of event spaces: Lobbies, study spaces, etc. What someone can and can’t do or broken furniture or equipment,
what procedures are in place to replace that item if the person is found responsible for the
damage.
