At our university, we have a ton of outdoor events as well and depending on who is hosting them, depends on who does the set-up.? If it is a student group/org or department within our building, my student employees will set up the equipment needed.? When this is on the schedule, I post extra shifts so that other students can pick up extra hours to help.? If I am unable to get it covered, I request our Facilities full-time staff to assist and at that point, a charge is added to the customer.? If the event is any other group reserving, than the Events Office schedules Facilities full-time staff to complete the set-up and there are charges added to the customer.? At UNC Charlotte, we are doing more outdoor set ups with includes tables, chairs, tents and staging. Currently, we have been using special event techs to set events as well as setting sound systems. Our issue: special event techs are maxing out on their hours and therefore may not be available for all events. We have thought about hiring students just for outdoor set ups, but our concern is not being able to give enough hours between the months of November-March which is obviously our slow time for outdoor events. Looking to see if others have crew that is dedicated for just outdoor events do you use seasonal students for outdoors, or is there another solution we are not thinking of? If you have any suggestions that you don’t mind sharing, we would appreciate any input.
