Event Scheduling Policies and Protocols

Here at American University we’ve had a policy for campus-wide event scheduling for 20+ years.? And the lead for this policy is on my team in the student center.? The policy was implemented to ensure that 1) priority institutional needs are met annually, 2) that classrooms could be made available for events/programs in coordination with the Registrar, 3) that departmental ‘silos’ were minimized so that we could maximize space use on campus, and 4) that recognized student organizations could have a ‘fair shot’ at space anywhere on campus.

Since COVID, the tendency for ‘silos’ has ticked up, and much of the process/policy protocols are being ignore/forgotten.?? I’m posting here to get some perspective on Event Scheduling practices at similar institutions-? are your schedulers concerned only with the student center?? Does your campus have a general policy on event scheduling??

    Any feedback is appreciated!

    Thanks

    Hi Michael!

We’re operating under a similar principle here at SU but I’m not aware of any formal policy to pertains to academic space.

We’ve also had some struggles with buildings reducing their hours or even closing on weekends with out notifying us, causing us to lose a lot of options for student orgs on evenings and weekends, including some academic auditoriums that have traditionally been used to host events when not able to be accommodated by the student center.

Additionally we’ve had an academic unit attempt to ban student orgs from their building completely due to the inappropriate actions of one.  That was resolved in our favor thanks to the VP we reported up to at the time, but the sour grapes remain.

I’m also curious if anyone is having similar issues?

    Scott
