    Can anyone share their process/procedures on either delaying opening buildings or for closings due to inclement weather?

    Hey Jenn!!!? At Rutgers University-Camden..I just finished updating our scheduled based on what call the University makes.? We wait for their call and then make arrangements based on that.? In tonight’s case, they moved everyone to have class online and work from home if they can, but since Dining is in our Campus Center, then we still have our building open.? I move to have only my employees who live on campus cover the shifts so that people don’t have to drive in.? I also swapped around my graduate program coordinators schedule to help cover shifts that were needed, as she lives on campus as well.? In regards to events, we defer to our Events Office to work with customers on moving to zoom, cancelling, or postponing events.? Please let me know if you are looking for any other information!??

    We try to follow the institution’s changes in operations. Sometimes we are given a heads up about the change in operation and can begin our changes. That could be 10 minutes prior to the official announcement going out. We also have the main cafeteria in our facility and that impacts what our changes can be. There is an exterior entrance for the cafeteria, but that is used as an emergency exit typically. It is used as an entrance at select times during the year, Thanksgiving break being one example when we close the facility with dining still operating in there. Depending on how many residents are on campus and time of year (holiday/break/etc.) depends on if we can use this exterior entrance or not. If we can use that exterior entrance, then we shut down the facility and direct anyone needing food to that door. Coordination with our housing team and dining services is needed directing students that way. If we remain open with different hours, we go down to a skeleton student staff and have those that live on campus be the ones working. We also reach out to any events that will be impacted see what their plans are. If severe weather is expected, we will direct them accordingly to see when they want to reschedule their event. An email is also sent to all facility occupants to let them know what is happening in the facility. Most of the work happens within 30 minutes of finding out about a change in operations and getting word out to everyone about the facility’s plan. The rescheduling of events can take longer depending on how many there are.

    Hi Jennifer,
    At App State, the university does treat us as a refuge for those who might not have power/wifi so we generally are expected to be open in some capacity.? We currently have a long if/then statement (that we are trying to tweak), but here is what we have been doing:

    • If classes are meeting in-person, the Student Union will remain open on a regular schedule.
    • If the University begins the day with in-person classes canceled and then resumes Normal Operations at any point during the day (i.e. if?in-person classes resume), the PSU will work to open on time (or as early as possible) and remain open as scheduled. Reservations are canceled while in-person classes are canceled. Reservations will resume when the University returns to Normal Operations?pending PSU Staff availability.
    • If the University announces that in-person classes are canceled in the morning for the entire day, or announces that in-person classes are canceled midday, the PSU will open on time (or as early as possible) and will remain open until 9pm, along with Campus Dining concepts located in the building.?*Individual offices and units within the building may choose to open later/close early, depending on employee availability.*?Reservations will be canceled while in-person classes are canceled.
    • If the University is operating under a Closure (all classes are cancelled and not moved to online instruction), the Student Union will make every effort to be open from noon-5pm.? All reservations will be canceled during the time of the University closure and no contact will be made with organizations/departments holding reservations during that period.
    • If the University is operating under a Closure for the morning only: the PSU will work to open by noon and will close based on subsequent University announcements throughout the day (i.e., either 5pm for a full Closure, or 9pm for Reduced/Suspended Operations when classes are not meeting in-person).
    • If the University announces a Closure midday:? all reservations will be canceled and the facility will close at 5pm.
    • The Plemmons Student Union will work with the Department of Environmental Health, Safety, and Emergency Management to adjust hours of operations if requested.

      At DePaul in Chicago we just had an early close last Friday and classes/events canceled yesterday due to weather.?

      With us being the main area for students on campus to eat, we still have to be open at reduced hours. If anyone can relate, I will have fun working on payroll this week since it is due!?

      Here is our policy below:

      Emergency Close Procedure

      1)????? The University will make an announcement via the DePaul web page, e-mail, and or DPU Alert that the University will be closed. https://offices.depaul.edu/university-marketing-communications/communications/public-relations-communications/Pages/emergency-info.aspx

      ?

      2)????? Once an announcement is made, there will be further instruction from the Full-Time staff in the Student Center as to the status of the building.

      ?

      3)????? Once the Student Center staff determines a time and process as to the status of the building, they will communicate that to the Student Employees (specifically Student Building Managers).

      ?

      4)????? If the building will close early, Full-Time staff will work with the Student Manager to inform the public of an early close time.

      ?

      5)????? If the building hours will change or be modified the next day(s) due to inclement weather the following will take place:

      a)????? The Full-Time Operations staff will contact all students working the next day to find out their approximate location to campus. Depending on their proximity to campus and the severity of the situation, the staff will make a determination if the employee works that day or will be granted the day off. The department will check with the Associate Director and Business Manager to determine if those who are off are eligible for ECH (early close hours pay) or some sort of pay.

      ?

      b)????? If additional staff is needed, the Operations staff will contact other staff to see if they can work on the specific day(s). The Operations staff will then communicate a modified schedule to cover the hours the building will be open.

      c)????? Those who work the days that the building is open due to modified hours will have the situation reviewed by the Business Manager to see if Early Close Pay or additional pay is used to report the hours.?

    Hello!

    Since most of our dining locations are in the student union, typically we’ll stay open from 7am to at least 8 pm (until dinner service has ended) if the rest of campus is closed. Most of our student employees live only a 5-10 minute walk away (whether they live on-campus or off-campus). Since we live in WI it usually has to be quite severe for this to happen though

    At LU we follow the University’s direction for closures. The Food Court and Bookstore will follow this as well, so generally it hasn’t been an issue.

    For early closures that are unexpectedly announced we’ve stayed opened as regularly scheduled. Typically, the closure beings at 2 or 3 pm and are typically the day before Thanksgiving, on Good Friday, or July 3rd. Those days we are only scheduled to be open until 5 pm anyway.

    When I worked at Fitchburg State University closures were much more relevant due to the snowy environment. This was our policy:

    In the case of most weather or university closings, the Campus Center will remain open, and services will continue as much as possible. However, services and operation will be at the discretion of the University. A delay will not affect operating hours. However, if the University announces a closing, operating hours will be Noon – 6 pm. Scheduled bookings will be considered cancelled, unless the sponsor has informed Event Services otherwise via email, cces@fitchburgstate.edu, no less than 3 hours before the event start time.

    For whatever interest, we had a Power Outage policy there as well:

    In the event of a power outage, the Campus Center will remain open, and services will continue as much as possible. However, services and operation will be at the discretion of the University. The building will close if emergency power is lost, or if at sunset power has not been restored. If power is lost for more than thirty minutes after sunset, the building will close immediately. When the building closes in this situation, all bookings will be cancelled.

    Hi –

    This is a basic outline of a mid-day closure, full day closure, and delayed opening plan we follow. You will see we have preset inclement weather staffing schedule (up to 3 versions in case we have a rough winter) prepared at the beginning of the semester with staff who live on campus.

    College Closure Mid Day

    • If the winter weather is delayed and the college closes midday, the Brower Student Center will aim to remain open until 12:00am, but this is subject to change depending on the severity of the weather. We will follow the normal schedule.

    • Operations staff who live off-campus and are unable to work should seek coverage for their shift. We ask the staff that live on-campus and in Campus Town pick up shifts if available. Student Schedulers and Game Room Assistants should notify their supervisor.

    Delayed Opening

    • If the college is on a delay tomorrow, the Brower Student Center will open one hour prior to the start of the college opening. We will follow the normal schedule.

    • If a delayed opening time falls during your shift, prepare to report one hour before then. Example: If TCNJ opens at 10:00am. That way the first operations shift does not have to report for just one hour.

    • Operations staff who live off-campus and are unable to work should seek coverage for their shift. We ask the staff that live on-campus and in Campus Town pick up shifts if available. Student Schedulers and Game Room Assistants should notify their supervisor.

    College Closure All Day (Tuesday 2/28)

    • If the college is closed, our hours are projected to be 10:00am-10:00pm. This will allow Facilities to clear the sidewalks in the morning.

    • We will follow the Inclement Weather Day 1 schedule below.
