    Hello all,

    We are looking to update our event space rate model, and I was wondering how other institutions determined their prices structure? We have general prices, and they were determined way before Covid, but now we are looking at re-evaluating them, and was wondering what factors were used to determine price increases. We currently only charge external clients that use university space, and prices are currently inclusive of AV that is built into the space. If anyone would be willing to share their current rate packages, that would be great too.?

    Hi Ashley,

    We cannot schedule off-campus entities unless they have an on-campus sponsor who then pays us through an internal fund transfer.

     

    Conference rooms: The hourly fee is inclusive of all installed AV and set up.  We do not have a person in attendance for the meetings/events unless requested which would incur an additional Event & Technical Services hourly fee.  If the installed AV cannot meet the needs of the program the sponsor is charged that same additional hourly fee. The only exception to this is if CART (captioning) support is requested.  All professional staff are trained on providing accommodation support and we do not charge for that. 

     

    Event spaces have a room rental and an event package. The event package is flat rate and inclusive of all labor and equipment. 

     

    Room rental is waived for Recognized Student Orgs in all student center spaces, however they are still responsible for the event packages, any additional AV labor, 3rd party rentals if applicable, and security costs.    

     

    This has been our fee structure since 2007. I had some input into how the event packages were built because everything was a la carte previously, but no one here currently seems to know how they determined the initial hourly conference room fee.  Over the years we’ve forecasted our student wages against annual revenue to make sure we’re hitting our revenue targets when looking at raising fees.  NYS just wrapped up a 6 year process of annual increases to get the minimum wage up to $15.00/hr. and we closed for 18 months for a mostly building wide renovation during that same period which forced some changes in our facility staffing and conference room support paradigms so our fees have gone up more regularly recently than prior to that period.  But student wages have been (for the most part) our impetus for raising fees.

    Hi Ashley,

    We implemented room fees for all groups besides recognized student organizations July 01 2022. We also increased our labor charge back rates July 01 this year due to our high labor costs. Minimum wage is $17.28 in Bellingham. We have a labor charge back for any special set up for all customers, including student groups. We do not charge for equipment in our building but have a structured rate for department and private groups outside of our building. My students support events all over campus. I’ve attached our current fee schedule with customer definitions. Let me know if you have any questions!?
