    Hi Everyone,

    I was wondering if your campus have any policies, protocols, or language in your reservation policies requiring university police at student organization events. If so, do you take into consideration attendance thresholds or the type of event being hosted? We are trying to standardize when UPD is and isn’t needed at events to help student organizations plan.?

    Hi Luke,
    In our campus-wide Public Events Policy https://wmich.edu/policies/public-events, section 4.8.4 covers “Factors for Assessing Security Costs.”   It is not student organization specific, but might help as you consider when to require public safety.  Happy to answer questions or discuss further.

    Hi!

    We reworked this process last summer. We have a rubric that we use when advising events that helps determine need for police presence.? We also have exemptions for offices that have additional event training provided to those staffing events.

      Kim,

      I like this rubric. How do you determine your score? Say, I have 300 attendees, no alcohol, open all with no ID required, movable seating, and 2 sponsors. Is that a score of 11?

        Yes – That would be an 11.? We will be revisiting the rubric this summer to be sure that all staff understand what each area of the rubric represents and that University Police feel the categories are accurate.? We think it’s pretty close, though!

    Our policy is not very lengthy, but we spent quite a while researching in 2018 with other schools in TX both in and out of our system. We reviewed it again in 2020, per request of our SGA, and only made one change – added the “and” on the line after attendance. We apply the policy to all student org events and any event by another group in the areas we schedule for (Rec Center, Student Center, outdoor spaces). Truthfully, the biggest issue our student orgs have is the cost associated, luckily, we will have funding set aside to cover that next FY.

    Security
    Events being planned where the group anticipates collecting over $100 in cash will be required to have a minimum of 1 Lamar University Police Officer assigned. Additionally, any event with an estimated attendance of 100 or more and meets at least one risk factor, listed below, will be reviewed. After review, the Lamar University Police Department, in coordination with Event Services, will assign Lamar University Police/Safety personnel at a ratio of 1 personnel per 100 attendees. This service will be scheduled 30 minutes before and after the event times and for a minimum of 2 hours.

    Risk Factors
    Any event with an estimated attendance of 100 or more, and:

    • There will be an off-campus guest speaker
    • There will be a DJ
    • Event is a dance or concert
    • Event is open to the public
    • Event location is outside
