    Hi all!

    I’m almost a full semester into my new role at Delta State University and I’m working on restarting a programming board that fell off in recent years. What type of structures does everyone have? What positions do you have? Paid roles vs. volunteer or is it a little bit of both? Any information would be great as we hope to get this rolling in January!?

    Hi Caleb!

    I wanted to share some information about the College Programming Board (CPB) at Ramapo College of New Jersey. Our E-board is made up of a President, two Live Music Chairs, three Programmers, two PR Chairs, and a Committee Liaison. We also have a CPB Committee, which is a group of students who assist with event setup and breakdown. We encourage committee members to apply for E-board positions as students graduate. All positions are volunteer-based, except for the President, who receives a stipend.

    The President leads E-board meetings, ensures we have all the materials needed for events, and coordinates with the advisors for any event that requires vendors. Our Live Music Chairs oversee our Tuesday Night Programming, handle the tech setup, and find local talent for Tuesday Night Live. The Programmers host all of our events, act as the point of contact for vendors, and lead the committee for the night. The PR Chairs manage our social media accounts and handle all marketing for events. The Committee Liaison is in charge of maintaining a committee of students, keeping them updated about open E-board positions, and informing them about upcoming events where they can volunteer.

    We host events every Tuesday, Thursday, Friday, and Saturday, with all programs starting after 9 pm. Our Tuesday events typically feature a musical element, such as open mic nights or “Tuesday Night Live,” where we hire a local artist to perform. We also have events like Pass the Aux or SoundCloud Showdown, where students who are producers can showcase their talents.

    Our Thursday, Friday, and Saturday events vary, but we strategically schedule them to encourage students to stay on campus during the weekend. Some examples include Grocery Bingo, Movie Nights, Black Light Roller Skating, and Sushi Night, where students learn how to roll their own sushi!

    Hey Caleb!??

    This has been my life since COVID and we are finally back out of the trenches…well, almost.? I found what worked was finding that one or two core leaders that would take the bull by the horns and make things happen.? Our programming board, CAB, currently consists of an E-board (pres, vp, treas, secretary), along with about 4-6 active members…it’s not huge, but the most we have had in years!? We are not a paid role, so we are a 100% volunteer.? We have general body meetings every other week and on the opposite weeks, we have eboard meetings.? I advise them, so try to attend the meetings as reference, but they are really taking everything and going with it.? We have tried to increase membership again this year, but have only gotten a couple of stragglers, nothing concrete.? We are a smaller budget programming board, where we only have about $20K per semester to spend.? I am trying to get them to a point where there is a specific programming model, and where the extra general body members are sitting on committees to assist with the events….we’re just not there yet!??

      We have a unique board as it serves as both a traditional programming board and an advisory board for the director of our student union.? There are technically 20 members of the board, which includes various individuals from across campus.? This includes faculty and staff.? They all have full voting rights and meet once every three weeks to discuss board/student union business.

      The core of the board is made up of 13 students.? Those are the ones that work regularly on planning and implementing the various events and activities the board puts on.? We have five Executives that are elected – President, VP of Policy, VP of Programs, VP of Internal Affairs, and VP of Finance & Sustainability.? There are also eight Directors of the following programming committees – Arts, Special Events, Traditional Events, Health & Wellness, Marketing, Cultural Programs, Enriching Programs (our lectures committee), and Illinites (a monthly late-night alternative event).? Each committee is made up of General Members.? These are basically volunteers who come and go as they please.? This often makes it a challenge to staff some of our events.

      We just received approval to have the 13 Executives & Directors paid.? That will begin this semester.? After much discussion it was determined that the President will be paid one amount and the other Executives and Directors will all be paid the same amount.?

      In addition to the weekly committee meetings that each Director leads, there is a weekly Program Council meeting that is led by the VP of Programs and attended by the eight Directors as well as the VPs of Internal Affairs and Finance & Sustainability.? There are rotating meetings that take place every Wednesday.? The first week is Executive Committee, the next week is the Policy Committee, and the third week is the Full Board.? The cycle then repeats itself.

    Hi Caleb!!

    University Program Council/UPC (https://studentaffairs.unt.edu/university-union/university-program-council/index.html) are paid student staff of our Union at the University of North Texas. Our students work approx 20-25 hrs per week and our board plans about 75 events per semester (approx 150/year).?

    Our unit is 16 folks in this structure:
    FT Assistant Director
    FT Coordinator
    2 Graduate Students who advise our programmers
    President
    VPs: Membership (oversees our 100 person member board, runs member meetings), Marketing (oversees the marketing team, design process for posters, etc), Campus Engagement (does our largest events, welcome back Eagle Insomnia, Homecoming Event, Boo Bash, and does large partnerships on campus with Athletics, Student Activities, etc)
    Marketing Coordinators – 2 students who do all our social media, poster runs, etc
    6 Event Planning Coordinators – They each plan 8-12 events per semester depending on budget/complexity of events in the following categories:
    Art
    Education and Awareness (educational events around health/wellness, history/heritage months, fitness, financial wellness, etc)
    Entertainment (Monthly Karaokes, Comedians, Mentalists, etc)
    Films (Film series including annual Rocky Horror Picture Show)
    Live Music (Daytime and nighttime live music – some student, some local, one concert a year, Open Mic Nights monthly)
    Special Programs (Casino nights, escape rooms, stuff-a-stuff, Monthly Bingos, Game Nights etc)
